Terms and Conditions

Last updated: August 1, 2025

1. Introduction

Welcome to Latin Passion ("we," "our," or "us"). These Terms and Conditions govern your use of our website, services, and dance classes. By accessing our website or using our services, you agree to be bound by these terms.

Latin Passion is a dance school located at Küütri 6, Tartu, Estonia, offering Latin dance classes including Salsa, Bachata, Kizomba, and other dance styles.

2. Account Registration

2.1. To register for classes or purchase services, you must create an account on our website.

2.2. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.

2.3. You must provide accurate and complete information during registration and keep your account information updated.

2.4. You must be at least 18 years of age to create an account. Persons under 18 may participate in classes with parental consent.

3. Classes and Registration

3.1. Class Registration

You may register for individual classes through our website. Registration is confirmed upon successful payment.

3.2. Class Capacity

Classes have limited capacity. We reserve the right to close registration when capacity is reached. Our class capacity varies by room:

  • Mark-Anthony room: up to 40 participants
  • Nelson room: up to 20 participants
  • Romeo room: up to 30 participants
  • Terrace: up to 30 participants

3.3. Partner Rotation

Our classes use a partner rotation system. You do not need to bring a dance partner. All participants rotate partners throughout the class to enhance learning and social interaction.

3.4. Gender Balance

To maintain an optimal learning environment, we may implement gender ratio controls in certain classes. Registration may be temporarily restricted to balance the number of leaders and followers.

3.5. Single Class Purchases

Single class purchases are non-refundable and non-transferable. Please ensure you can attend before purchasing.

3.6. Tryout Week

New students are eligible for a 50% discount on all classes during their first week of registration ("Tryout Week"). This offer is available once per person.

3.7. Level Placement

Latin Passion trainers have sole authority to assess and assign students to appropriate class levels. Level assessments are based on technical skill, not time spent dancing or number of classes attended.

Students may be asked to attend a different level class, take private lessons, or work on specific skills before joining or continuing in a particular group. A trainer-initiated level reassignment does not constitute a class cancellation under Section 7.3 and does not entitle the student to LP Credits or any other refund. Disagreement with a level placement decision is not grounds for a refund of membership fees, package fees, or single class fees. Students who refuse a recommended level placement may be restricted from attending classes above their assessed level.

4. Memberships

4.1. Membership Plans

We offer membership plans that provide regular access to classes at preferential rates. Membership tiers include Silver, Gold, and VIP levels, each with different benefits and pricing.

4.2. Membership Benefits

Active membership includes:

  • Guaranteed spot in your registered training courses
  • Free access to practice sessions
  • Free entry to weekly parties
  • 20% discount at the bar
  • Discounts on bootcamps and special events

4.3. Minimum Commitment

All memberships require a minimum commitment of three (3) months. You may not cancel your membership before completing this minimum period.

4.4. Monthly Billing

Membership fees are billed monthly via your registered payment card. Your billing date is set when you activate your membership and recurs on the same date each month.

4.5. Course Changes

You may add or remove training courses from your membership. Course removals can only be processed on the 1st day of the month and take effect at the end of that month. Exception: If a training schedule has been recently changed, you may cancel that specific course immediately.

4.6. Price Adjustments

When removing a course from your membership, 50% of that course's monthly fee will be distributed among your remaining active courses.

4.7. Membership Cancellation

To cancel your membership entirely:

  • You must have completed the minimum 3-month commitment
  • All outstanding payments must be settled
  • Cancellation takes effect at the end of the current billing month
  • You retain access to your registered classes until the end of the month

4.8. Half-Week Option

For courses that meet two or more times per week, you may opt for a "half-week" schedule at 70% of the full course price.

4.9. Non-Refundable Membership Fees

Membership fees are non-refundable once the billing period has started. This applies regardless of how many classes the member has attended during the billing period. Early termination of a membership before completing the 3-month minimum commitment does not entitle the member to a refund of fees already paid. This does not affect vacation mode billing adjustments under Section 8 or the holiday schedule provisions under Section 9.

5. Packages

5.1. What Are Packages

Packages are bundles of three or more classes from the same training course, purchased together at a discounted rate compared to single class prices.

5.2. Package Validity

Packages are valid from the date of your first registered class until the date of your last registered class in the package. Packages cannot be extended beyond this period.

5.3. Package Status

  • Future: Package has not yet started (before first class date)
  • Active: Package is currently in use
  • Expired: Package period has ended

6. LP Credits

6.1. What Are LP Credits

LP Credits are a virtual currency issued by Latin Passion as billing adjustments or refunds, including for cancelled class registrations and vacation mode adjustments. LP Credits can be used to pay for future class bookings on our platform.

6.2. Credit Expiry

LP Credits expire 60 days (approximately 2 months) from the date of issuance. Expired credits cannot be used, refunded, or reinstated. It is your responsibility to use your credits before they expire.

6.3. Credit Usage

LP Credits are automatically applied to your purchases at checkout. Credits must be used in full or partial payment for class registrations and cannot be converted to cash.

6.4. Credit Balance

You can view your current LP Credit balance and expiry dates in your account dashboard.

6.5. Non-Transferability

LP Credits are non-transferable and may only be used by the account holder to whom they were issued.

7. Cancellation and Refund Policy

7.1. Student-Initiated Class Cancellations

If you need to cancel your registration for a class, refunds are issued as LP Credits according to the following schedule:

Cancellation Timing Refund Amount
7 or more days before the class 100% as LP Credits
3 to 6 days before the class 50% as LP Credits
Less than 3 days before the class No refund (0%)

7.2. Single Class Purchases

Single class purchases are non-refundable and non-transferable under any circumstances.

7.3. Studio-Initiated Cancellations

If Latin Passion cancels a class (due to insufficient enrollment, trainer unavailability, or facility issues), all registered students will receive a 100% refund as LP Credits. We will notify affected students via email and/or SMS.

7.4. No Cash Refunds

We do not provide cash refunds for individual class cancellations. All refunds are issued as LP Credits.

7.5. Non-Refundable Items

Certain classes or events may be marked as non-refundable. This will be clearly indicated at the time of purchase.

7.6. Voluntary Discontinuation

Students who choose to stop attending classes before their membership commitment ends, package expires, or scheduled classes take place are not entitled to refunds. This includes cases of personal dissatisfaction, disagreement with trainer feedback, or loss of interest.

8. Vacation Mode (Members Only)

8.1. Eligibility

Active members may request vacation mode to temporarily pause their membership billing during extended absences.

8.2. Requirements

  • Advance Notice: Vacation requests must be submitted at least 7 days before the start date
  • Duration: Minimum 7 days, maximum 28 days per request
  • Frequency: At least 30 days must pass between vacation periods
  • Annual Limit: Maximum 42 vacation days per rolling 365-day period

8.3. Blackout Period

Vacation mode is not available during December. The December holiday period is treated separately (see Section 9).

8.4. Billing During Vacation

Vacation mode adjustments are applied as follows:

  • Already paid days: Vacation days falling within an already-billed month are refunded at 100% as LP Credits
  • Future days: Vacation days falling within a month not yet charged are deducted from that month's invoice before billing

No partial cash refunds are issued. All billing adjustments are applied as LP Credits or invoice deductions only.

8.5. Vacation Mode Cannot Be Used to Delay Cancellation

Vacation Mode may not be used as a mechanism to avoid payment obligations or to delay a cancellation. Specifically:

  • Vacation Mode cannot be requested while there is an outstanding unpaid payment for the current month
  • Membership cancellation is not permitted within 30 days of the end of a vacation period. After a vacation ends, the member must complete at least 30 days of active membership before a cancellation request will be accepted (this is separate from the 30-day minimum between vacation requests under Section 8.2)
  • Future vacation periods are automatically cancelled if all training registrations are marked for cancellation

Any attempt to exploit Vacation Mode to circumvent payment obligations will be treated in accordance with Section 10.5.

9. Holiday Schedule

9.1. Christmas Holiday Period

Regular classes are paused from December 22 through January 3. During this period:

  • All December membership fees are reduced by 20%
  • The studio remains open for practice sessions and special events
  • Vacation mode requests are not processed for December dates

9.2. Other Holidays

Class schedules may be adjusted during Estonian public holidays. Any schedule changes will be announced on our website and via email to registered students.

10. Payment Terms

10.1. Accepted Payment Methods

We accept payment via:

  • Credit and debit cards (via Stripe)
  • Bank transfer (via Montonio)
  • LP Credits

10.2. Currency

All prices are displayed and charged in Euros (EUR).

10.3. Failed Payments

If a recurring membership payment fails, we will attempt to process the payment again. Continued payment failures may result in suspension of your membership until the outstanding balance is settled. Suspension does not constitute cancellation, and the outstanding balance remains due in full.

10.4. Early Bird Discounts

A 15% early bird discount is available for class registrations made at least 4 days before the first class of the month.

10.5. Payment Obligation and Evasion

Your obligation to pay membership fees exists independently of the state of your payment method. Freezing, deactivating, or closing a bank card, removing or reducing available funds, or any other action that prevents a scheduled charge from being processed does not constitute a cancellation of your membership and does not release you from your payment obligations.

This applies in particular during the 3-month minimum commitment period (Section 4.3). If a payment cannot be collected due to actions taken by the member to block the charge, Latin Passion reserves the right to declare the full outstanding amount — including any remaining months of the minimum commitment — immediately due.

Latin Passion reserves the right to:

  • Pursue unpaid membership fees through a debt collection agency
  • Initiate legal proceedings to recover outstanding amounts
  • Add debt collection costs, administrative fees, and statutory interest to the amount owed, as permitted under Estonian law
  • Report the outstanding debt to credit reference services where applicable

Members who wish to end their membership must follow the official cancellation process described in Section 4.7. No other action — including ceasing attendance or blocking payment — will be accepted as notice of cancellation.

11. Code of Conduct

11.1. Respect

All participants must treat instructors, staff, and fellow students with respect. Harassment, discrimination, or inappropriate behavior of any kind will not be tolerated.

11.2. Hygiene

Please maintain good personal hygiene when attending classes. Bring a clean change of clothes if needed, and use deodorant.

11.3. Punctuality

Please arrive on time for classes. Late arrivals may disrupt the class and you may be asked to wait until an appropriate moment to join.

11.4. Health and Safety

If you are feeling unwell or have symptoms of contagious illness, please do not attend class. Contact us to reschedule.

11.5. Personal Belongings

Latin Passion is not responsible for lost, stolen, or damaged personal belongings. Please keep valuables secure.

12. Liability and Disclaimer

12.1. Physical Activity

Dance classes involve physical activity. By participating, you acknowledge that you are in good physical condition and that you participate at your own risk. Consult a physician before starting any exercise program if you have health concerns.

12.2. Injuries

Latin Passion is not liable for any injuries sustained during classes, practice sessions, or events, except in cases of gross negligence on our part.

12.3. Photography and Video

We may take photographs or videos during classes and events for promotional purposes. By attending, you consent to being photographed or filmed. If you do not wish to appear in promotional materials, please inform us in writing.
